Privacy Policy
Effective Date: October 9, 2026
Kelsi Lakey, doing business as Trace Performance ("we," "us," or "our") operates the Trace Performance application and related web services (collectively, the "Service"), which helps sports teams record, organize, and analyze athletic performance videos. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

1. Information We Collect
Account Information
When you create an account we collect your name, email address, and date of birth. Your password is stored only as a cryptographic hash by our authentication provider (Firebase Authentication); we never see or store your plaintext password. Date of birth is used solely to enforce our minimum age requirement (13) and to identify accounts held by minors so we can apply appropriate protections.
Content You Provide
- Video and audio recordings you record in the app or upload from your library, plus derived files we create (thumbnails and lower-resolution playback copies).
- Athlete and team information: athlete names and nicknames, team rosters, roles (owner, collaborator, member), tags, and notes you add to videos.
- Freelap timing data: if you link your own MyFreelap account, we access timing-crossing data (athlete crossing times and splits) from your Freelap account to associate timing with videos. We access this only with credentials you provide and only for your teams.
Information Collected Automatically
- Device and log data needed to operate the Service (error logs, upload progress, app version).
- An on-device diagnostics log you may optionally share with support; it stays on your device unless you send it.
We do not collect advertising identifiers, do not run third-party analytics or ad networks, and do not track you across other apps or websites.
2. How We Use Information
We use the information above to:
- Provide the Service: store and stream videos, organize them by athlete and team, manage rosters and access controls.
- Identify athletes: audio and video you upload is processed using Google's Gemini models to suggest which roster athlete appears in a clip, and to build per-athlete visual profiles used for verification. Identification results are suggestions; your team reviews them.
- Sync timing data: match Freelap timing crossings to video clips for your team.
- Communicate with you: account verification, team invitations, deletion notices, and service updates via SendGrid (our email provider).
- Maintain security, prevent abuse, and comply with legal obligations.
3. How Information Is Shared
Within your team. Videos and athlete data you upload to a team are visible to that team's members according to role: owners and collaborators can see all team content; members see content for the athletes assigned to them. Personal Vault content is visible only to you.
Service providers. We share data with the providers that run the Service, each under their own data-processing terms:
| Provider | Purpose |
|---|---|
| Google Cloud / Firebase (auth, database, storage, hosting) | Account authentication, data storage, app hosting |
| Google Gemini | AI athlete identification from audio/video |
| SendGrid | Transactional email (verification, invites, notices) |
| Freelap (MyFreelap API) | Timing synchronization, only when you link your account |
| Apple / Google (app stores) | App distribution |
Legal and safety. We may disclose information if required by law, to protect the safety of users (including minors depicted in content), or to defend our rights.
Business transfers. If the company is acquired or merged, user information may transfer with the business; we would notify you first.
We do not sell your personal information and do not share it for cross-context behavioral advertising.
4. Children's and Minors' Privacy
- Accounts are limited to users 13 and older. We collect date of birth at registration to enforce this. If we learn that a child under 13 has created an account, we will delete the account and associated personal information.
- Users aged 13–17 may create accounts only with a parent or guardian's review of and agreement to our Terms of Service and this Privacy Policy.
- Videos may depict minors. Athletes under 18 are the subjects of most content on the Service. Under our Terms, adults who upload videos represent that they have obtained parental or guardian consent for each minor they film. If you believe content depicts your child without consent, contact us at [email protected] and we will remove it.
- We apply the same data-minimization principles to minors' content as to everything else: team-scoped access only, no public sharing by default, no advertising.
5. Retention and Deletion
- We keep your account information and content while your account is active.
- Team deletion: when a team owner deletes a team containing videos, the team enters a 30-day soft-deletion period during which members are notified; content is permanently deleted afterward.
- Your content: you may delete individual videos at any time; deleting also removes derived thumbnails and playback copies.
- Account deletion: contact [email protected] to delete your account. We delete your personal information and Vault content; videos you uploaded to teams follow that team's retention rules. Residual copies in backups are deleted on their normal rotation.
- We retain minimal logs for security and abuse prevention for a limited period.
6. Security
We use industry-standard safeguards: encrypted transport (TLS) for all connections, Firebase Authentication for credentials, role-based access controls, and short-lived signed URLs (one hour) for video access. No method of storage or transmission is perfectly secure; we cannot guarantee absolute security.
7. Your Rights and Choices
- Access / correct / delete your account information in the app or by contacting us.
- Email: transactional emails (verification, deletion notices) are required for the Service; other communications include opt-out where applicable.
- Depending on your state of residence, you may have additional rights (e.g., under California law: rights to know, delete, correct, and non-discrimination). To exercise them, email [email protected]. We will not discriminate against you for exercising privacy rights.
8. Data Location
The Service is operated from and stores data in the United States (Google Cloud, US regions). If you use the Service from outside the US, you consent to transfer of your information to the US.
9. Changes to This Policy
We may update this Policy from time to time. We will post the revised version with a new effective date and, for material changes, notify you by email or in-app notice.
